Frequently Asked Questions - Attending a UKOUG Virtual Event

This page should answer any questions you have regarding our virtual events. If your question is not answered here, please contact the PM Team.             


Yes. For your security, we need to make sure that everybody online has registered. You will be allocated to your breakout sessions manually and the UKOUG team will only be able to recognise you by the name associated with your booking.

If we cannot verify your identity you will not be placed in any breakout rooms and may be removed from the event.


Click on the “participants” list on your Zoom toolbar. Scroll down until you find your name and click “rename”. Please display your name as first name followed by surname.


Yes, you can join through your browser. Please use your event link and choose "join from your browser" from the Zoom website. You will then be prompted to enter the password which has also been emailed to you.


You will be assigned to a breakout room by the UKOUG team. A pop-up will appear on your screen inviting you to join a session. Once you have accepted the invitation you will be moved across within a few seconds.


All breakout room allocations are controlled manually by the UKOUG team. Depending on where your name is on the list you may have to wait for 10-15 minutes before being placed. Please take this time to have a break.


You can still join. Click on “breakout rooms” on the Zoom toolbar at the bottom of your screen. Here you will find your invitation to the room.


All moves to the breakout rooms are controlled manually by UKOUG. Depending on where your name is on our list, you may be placed faster than others. Unless otherwise notified, the sessions will start at the scheduled start time.


At the bottom right of your screen there is an option to “leave breakout room” and head back to the main room. From the main room, message a member of the UKOUG team to be moved.


When you return to the event you will go back to the main room. Please message a representative of the UKOUG team to be moved back to your chosen session.


The chat box follows your journey through the event. Any messages in there will only go to people in the same room as you (or directly to an individual if you have chosen to private message them).


To avoid any background noise we will disable the option to unmute yourselves during presentations. If you have a question or comment please share it in the chat box or raise your hand (using the button on the participant’s panel) to be unmuted at the appropriate time.

During the lunch break and social you will be able to unmute yourself. Please mute yourself when you are not speaking to reduce the background noise and risk of audio feedback.


Subject to speaker approval, we are recording all presentations. Along with presentation slides, these will be posted to the UKOUG member library post event. Please bear with us as it may take up to two weeks to finish editing and uploading the recordings.


There are various ways to view the screen. We recommend side-by-side mode as this allows you to see the active speaker and their shared screen. At the top of your screen, click on “view options” to choose this setting.


There will be a UKOUG representative in every room during the day. Message anybody with UKOUG at the end of their name for help. We will be at the top of the list on the participants panel.
